How to Create a Professional Email Signature
What belongs in it
A professional email signature works best when it answers three questions fast: who you are, what you do, and how to reach you. That means a full name, job title, company name, and one reliable contact method — usually a phone number. Everything beyond that is optional, not required.
What to leave out
- Inspirational quotes — they read as clutter in a business context
- More than one or two social links
- Large images or animated banners that bloat every reply in a thread
- A physical address, unless your correspondence is genuinely mail-related
Should you include a signature image?
A small image of your actual signature (drawn, typed, or scanned) next to your name adds a personal touch to client-facing emails, proposals, and sign-offs, without the overhead of legally signing every message. You can create one for free with the type signature tool or the draw signature tool and save it once for reuse in your email client's signature settings.
Keep it consistent
Whatever format you land on, use the same one across your whole team if you're representing a company — consistency reads as more professional than any individual design choice.
